We at My Digital Service Enterprise (Registration of Business: NS0264342-K, “My Digital Service”, “MDS”, “we”, “us”, “our”) as an information technology business and your digital service partner are committed to protecting your privacy and personal data in accordance with the Personal Data Protection Act 2010 of Malaysia (“PDPA”). The term information and personal data may be used interchangeably. This Privacy Policy page explains:

i. information and personal data we collect, how and why we collect it,
ii. how we use and handle your personal data,
iii. the parties or affiliates that we disclose the personal data to; and
iv. the choices we offer, including how to access and update your personal data.

Information and Personal Data We Collect

We collect information to establish the required basic information and to provide better services. We collect information in the following ways:

i. Information that you provided – For example, we may ask for your personal information when you are visiting our website address at https://mydigitalservice.my (“website”) or when contacting any of our authorised MDS personnels. We may collect the following personal data from you:

  • personal information to establish your identity such as your full name, date of birth, gender, passport or identity card number and nationality.
  • contact information such as telephone and mobile phone number, billing address, premises address and email address.
  • sensitive information such as your ethnicity or racial origin, religious belief, health and criminal records or trade union membership. We do not generally collect sensitive information unless it is necessary under certain circumstances to comply with the relevant laws, to serve you better and to meet your particular needs.
  • resume file or any document attached when you emailed us.
  • we presume that any information provided by you to us which may be related to a third party – such as personal data of employers, employees, family members and associated private entity – is presented with consent by the third party.

ii. Information obtained when you use our service – We may collect information when you use or interact with our service – for example, your IP address when you visit our website or when you use our applications. These information include but are not limited to:

  • recording of calls placed by you to our customer service and technical assistance with any of our authorised MDS personnels.
  • your log information including your IP address and other location identifying technologies when you use any service provided by MDS.
  • your device-specific information such as your hardware model, operating system version, unique device identifiers, and mobile network information including phone number.
  • account information, username and password used to access any service provided by MDS.
  • cookies and similar technologies – including cache and web browser data – used to collect and store information when you visit our website and use any service provided by MDS which may involve storing your data in various third party technology and software service providers.

How We Collect Your Personal Data

We may collect personal data either provided by you, from your authorised representatives such as your employers or employees, from third parties, or from publicly available sources which may include but are not limited to:

i. when you visit our website,
ii. when you register for our services – for example when you submit an application form to become our customer when you contact us or any of our authorised MDS personnels in person, by a phone call or over the counter – for example when you contact us for any enquiries, complaints, comments or feedbacks, we may keep record of that correspondences,
iv. when you participate in any surveys, questionnaires, competitions, contests, offers, or promotions done internally or via an appointed third party,
v. when you commence a business relationship with us – for example, as a service provider, or business partner,
vi. when you attend any of our events or third party open day,
vii. when you apply for a job with us,
viii. when you interact with us via social media or interactive applications,
ix. when we collect information about you from third parties we dealt with or are connected with you – for example your banking institution, credit reporting agencies and contractors; and
x. from such other sources where you have given your consent for the disclosure of personal data relating to you where otherwise lawfully permitted.

Why We Need Your Personal Data

By visiting our website, contacting us and using our service, you agree that we may use the information collected in subject to the relevant laws for the following purposes:

How We Handle Your Personal Data

i. We use the information we collect from our services to run, maintain, protect and improve the product and solutions that we have provided you,
ii. We may use the information to operate our business which includes analysing performance, meeting legal requirements and for research and development,
iii. When you contact any of our authorised MDS personnels, we may keep a record of your communication to help solve any issues you might be facing and we may keep a record of your phone number or email address for future correspondences,
iv. We use relevant data to develop the product such as when conducting tests, providing assistive materials and to ultimately provide support to our customers,
v. We use information collected from cookies and other technologies to improve your user experience and the overall quality of our services such as our website,
vi. We may process your information via automated methods or manually (human) – For example, automated methods may include but not limited to programmed code, formulae or any other computing tool deemed suitable for the purpose,
vii. We use the information to protect the safety of our products, interests and our customers – For example to identify malicious activities such as phishing, scam or abuse and objects flagged as fraud, spam or malware,
viii. We may process and submit any required information to comply with laws, regulations and local authorities with a priority to always protect your sensitive
information,
ix. We will ask for your consent before using information for a purpose other than those that are set out in this Privacy Policy; and
x. MDS may process personal information on cloud services or servers including but not limited to Azure cloud computing services by Microsoft that may be located outside of Malaysia and in many countries around the world.

With Whom We May Share Your Personal Data

i. Federal or state government and their agencies,
ii. Law enforcement bodies and local authorities,
iii. Microsoft and its service platforms including but not limited to Azure cloud computing and Microsoft 365 applications,
iv. Companies or organisations that we worked closely with which falls within the necessary and required for a particular business purpose,
v. Companies or organisations that performed credit reporting and auditing; and
vi. Other parties in respect of whom you have given your consent or at your direction.

Your Rights to Access and Update Your Data

i. Please contact us directly to change or review any information relating to any services or subscriptions that we provided.
ii. Keep your account secure by updating the related credentials where applicable.
iii. We will keep storing your data as long as required by a particular business purpose, please request and read the detailed information in further documents that will be provided for a specific business arrangement and agreement.

ii. MDS reserves the rights to modify, change, update or remove any content on this website including this privacy policy page without any prior notice.
iii. MDS are not responsible for any comments, triggers, damages, outages, injuries, death or loss in any form that may occur when you are visiting this website.

i. Website

  • By visiting and interacting with this website, you agree to abide by the features and functionalities designed by WordPress, its cookies and plugins.
  • When visitors leave comments on the site, we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

After approval of your comment, your profile picture, if any, is visible to the public in the context of your comment
  • If you upload images to the website, please avoid uploading images with embedded location data (EXIF GPS) included, visitors to the website can download and extract any location data from images on the website.
  • If you request a password reset, your IP address will be included in the reset email.
  • If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
  • For users that register on our website, if any, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
